Google Workspace email connections
What Plana uses when a meeting planner connects a work mailbox to send event emails.
What the connection is used for
Plana uses the verified Google account identity and email address, together with Google's send-only Gmail permission, to send event test emails, invitations and registration messages from the mailbox selected for an event. This includes automatic event messages sent while the planner is away.
When an event email is sent, Plana submits the recipient and the message content to Google's Gmail API for delivery from the authorized address. Recipients receive the message and see the sending address. Plana's hosting processes and stores the connection and event email records, and some older connections continue to use the Lovable connector gateway described below.
What Plana requests
Plana requests permission to identify the connected Google Workspace account and email address and to send email from it. Plana does not request permission to read the inbox, contacts or Gmail settings.
How the connection is handled
New Google Workspace mailboxes connect through Plana's own Google authorization client. Older connected mailboxes may continue to use Lovable's legacy connector gateway until they are reconnected.
Plana stores the connected address and Google account identity, its Plana account and workspace association, the permissions granted, and an encrypted credential for ongoing authorized sending. Event email records include recipients, message content and delivery status.
Security
The Google connection credential is encrypted in Plana's storage. Plana uses it only on the server to obtain send access for the authorized mailbox. Messages are sent to Google's Gmail API over HTTPS.
Use and sharing
Google Workspace API data is used to provide the email-sending function described on this page. Plana does not sell this data, use it for advertising or use it to train general-purpose AI models.
To deliver an event email, Plana sends the recipient and message content to Google's Gmail API. Recipients receive the message and see the authorized sending address. Plana's hosting processes and stores the connection and event email records. Some older connections also pass through Lovable's legacy connector gateway, as described above.
Disconnecting Google Workspace
In Communications, open Manage connected mailboxes and choose Disconnect from all events to remove the saved connection. Events using that mailbox then need another sender, while existing event and email records remain. You can also revoke Plana's access in your Google Account.
Retention and deletion
When Disconnect from all events succeeds, Plana removes the saved mailbox connection and credential and stops sending from that mailbox. Disconnecting does not erase previously sent email or event communication records, which remain after disconnect. Plana does not currently promise an automatic retention period for those records.
